Please read these Terms of Service carefully before using The Back Office platform. By accessing or using our service, or by clicking to accept these terms when you sign in, you agree to be bound by them. If you are agreeing on behalf of a business, you confirm you are authorised to bind that business.
The Back Office is operated by The Back Office Team Ltd, a company registered in the United Kingdom. References to "we", "us", or "our" in these terms refer to The Back Office Team Ltd.
The Back Office is a team management platform that allows businesses ("Customers") to run their sales teams. Depending on your plan, the platform includes tools for weekly reviews, pay and performance reporting, rosters and daily planning, calendars, rep onboarding and training, contractor agreements and e-signatures, venue and campaign management, leaderboards, and internal communications. We may add, change, or remove features over time.
Access is provided through several account types — for example admin, manager, team leader, and CEO logins. The Customer is responsible for maintaining the confidentiality of all credentials used within their organisation, for the accounts they create for their own staff, and for all activity that occurs under those accounts. You must notify us immediately if you believe any account has been compromised.
You must not share login credentials with anyone outside your organisation, create accounts for people who are not entitled to access, or use the platform for any unlawful purpose.
You agree not to:
Each Customer's data is stored in a separate, isolated database. We do not share your data with other Customers or third parties except our sub-processors, or where required by law.
For the personal data you upload or generate about your own staff, agents, and reps, you are the data controller and we act as your data processor, processing that data only on your instructions to provide the platform. Where a written data processing agreement is required, it forms part of these terms. Our Privacy Policy sets out in full how personal data is handled, the sub-processors we use, and how long data is kept.
Subscription fees are agreed at the point of sale and may be based on a per-office charge plus a charge for each additional team-leader account, or as otherwise agreed. Card payments are handled by our payment processor, Stripe; we do not store your card details.
Fees are billed on a recurring basis until cancelled. We reserve the right to change pricing with reasonable notice. If payment fails or a subscription lapses, access to the affected account may be suspended until payment is brought up to date. If you cancel, your access continues until the end of your current billing period; fees already paid are non-refundable except where required by law.
We aim to keep The Back Office available at all times but do not guarantee uninterrupted access. We will not be liable for any loss arising from temporary unavailability due to maintenance, technical issues, or events outside our control.
All software, design, and content within The Back Office platform is owned by The Back Office Team Ltd. You are granted a limited, non-transferable licence to use the platform for your internal business purposes only. Content and data you upload remain yours.
We may suspend or terminate your access if you breach these terms. You may cancel your subscription at any time by contacting us. Upon termination, your data will be retained for 30 days before permanent deletion, giving you time to export anything you need — except records we are legally required to keep for longer, such as signed agreements and billing records. See our Privacy Policy for details.
To the fullest extent permitted by law, The Back Office Team Ltd shall not be liable for any indirect, incidental, or consequential loss arising from your use of the platform. Our total liability shall not exceed the fees paid by you in the 12 months preceding the claim. Nothing in these terms limits liability that cannot be limited by law.
These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
We may update these terms from time to time. We will notify you of significant changes by email or via the platform, and may ask you to re-accept them when you next sign in. Continued use after changes take effect constitutes acceptance of the updated terms.
